Procurement & Inventory Specialist
Posted: 02/23/2025The Procurement and Inventory Specialist supports the company’s procurement activities for construction, installation, and service materials and supplies. They assist with daily warehouse operations, ensuring employees have the materials needed to deliver great service to our 55,000 customers. They regularly interact with employees and external vendors to coordinate materials, supplies, and help create efficient systems and processes.
WHAT ARE THE DUTIES AND RESPONSIBILITIES FOR THIS POSITION?- Assists with the procurement process of Company’s inventory and materials in accordance with VGS’s standard bidding processes.
- Works with various Departments to maintain a list of acceptable vendors and materials.
- Helps maintain appropriate levels of inventory and supplies for other departments, emergency response, and company needs.
- Participates in day-to-day warehouse activities including the receipt, distribution, and delivery of materials and supplies, and recording related transactions.
- Coordinates the shipment of tools and products that need to be calibrated.
- Provides support to the Fleet and Facilities Coordinator.
- Maintains automated systems for the Company’s procurement functions and for tracking levels and pricing of inventories.
- Creates and tracks PO’s in the accounting information system and performs certain levels of invoice review and approval.
- Maintains the orderly organization of the inventory and warehouse facilities.
- Collaborates with cross-functional teams to compile special project requests and order long-term construction and related materials.
- Operates forklifts and drives company vehicles as required.
- Participates in monthly cycle counts and reconciliation of perpetual records.
- Contributes ideas to improve safety and quality, reduce operating expenses, and streamline process flows.
- Provides support to the accounting department to reconcile and/or troubleshoot issues.
- Investigates product or material warranty issues as needed.
- Acquires and maintains knowledge of industry standards.
- Assists with special projects which could include scoping new equipment, identifying new suppliers, and creating new tracking systems.
- Other duties as may be required or requested.
- Technical Knowledge: Basic understanding of procurement systems and inventory management. Familiarity with SAP, WOMS, and related tools is a plus.
- Problem Solving: Able to evaluate problems related to procurement and inventory and make recommendations for solutions.
- Interpersonal Skills: Good oral and written communication skills required. Able to effectively work within a team and professionally interact with all levels of the organization, as well as suppliers and external customers.
- Organizational Skills: Effectively schedule work, balance regular daily tasks with special projects, and successfully prioritize multiple tasks.
- Accountability: Support local purchasing and warehouse activities, ensuring tasks are completed accurately and on time. Assist with the management of company fleet and general supplies. Ability to adapt quickly in emergencies.
- Collaboration: Able to work collaboratively with cross-functional teams and contribute ideas for process improvements.
- Minimum Qualifications: High school diploma; 1-3 years of procurement, warehousing, inventory management, or a related field; basic computer skills, including familiarity with Microsoft Office (Excel, Word).
- Preferred Qualifications: Associate or bachelor’s degree in business, supply management, or related field. 3-5 years of experience in procurement, warehousing and/or inventory management, within the plumbing, or HVAC industry. Familiarity with procurement systems (e.g., SAP). Forklift operation certification. CPSM (Certified Professional in Supply Management), or CPP (certified Purchasing Professional) a plus.
- Continuously – Stand; walk; sit; reach above shoulders; work on computer; use phones; and use both hands for simple grasping;
- Frequently – Drive; push; pull; bend; stoop; squat; climb; twist and use both hands for power grasping and object manipulation;
- Occasionally - Kneel and crawl;
- Continuously lift up to 10 lbs.; frequently lift between 10-50 lbs.; and occasionally lift between 51-100 lbs.
- Frequently work outdoors with exposure to weather conditions to include extreme temperatures;
- Working from VGS headquarters on a day-to-day basis
- Walking on uneven ground;
- Working at heights; and
- Subject to hazards.
- Valid driver’s license and a clean driving record. Ability to drive a forklift
